How to cancel an occurrence

There are two locations where you can cancel an event either in the Occurrence view or the Event view.

Occurrence View

  • From the Occurrence View:
  • Go to Events Management.
  • From the Occurrence View.
  • Go to the occurrence.
  • Select the Edit button
  • Go to the Event Occurrences.
  • Select the Cancel button.

You will then see the details of the Cancellation and ask to update the Cancellation status: by selecting the drop-down from Not Cancelled to Cancelled.


You are then asked the following questions about the cancellation that you need to complete.

Would you like this occurrence to stay on the website, marked as cancelled and unbookable? Select Yes if you do or No to remove from the website.

On submission of this form cancel all delegates on this occurrence.

If you select Yes, this will cancel all the delegates.

If you select No, you will be able to keep the delegates booked and can contact and moved them to another occurrence.

On submission of this form cancel all delegates on this occurrence informing them of a cancellation.

If you select No, no e-mail will be sent
If you select Yes, an e-mail will be sent.

E-mail Preview will show the standard e-mail sent.

  • You can add further information it the text editor under the Cancellation
    reason provided to the delegates.
  • Then click the Update Status button
  • The system will display a message asking, "Are you sure you want to
    perform these actions?"
  • The system will then display your choices and ask you to select the OK
    button to accept or Cancel to allow you to change any of your choices.
  • You will see that a green action bar across the top of the screen will advise
    that the event will be cancelled.
