How to transfer delegates to a different event or occurrence

There are two ways to transfer delegates on to a new course either one at a time
or by multiple transfers.

Transfer a single delegate:

  • Select the event or occurrence.
  • Select the bookings icon.
  • Go to the booking list of delegates.
  • Hover of the i icon.
  • Under Booker click Transfer to another event.

Then the following screen comes up:

Select the Event from the drop-down list.

Occurrences only show that have places left on them.

A standard transfer e-mail will go to your delegate.

  • If you wish to send out a confirmation e-mail tick the box.
  • Click the Transfer Delegates button.
  • You will see a pop up asking, "Are you sure you want to make this transfer?"
  • Select Yes to continue or Cancel to stop the transfer.
  • The delegate will be transferred to the new event or occurrence. The new event or occurrence will load with the delegate displayed.
  • On the original event or occurrence, the individual will be marked as cancelled and the cancelled comment will automatically be filled with transferred to another event and the Cancelled date will have the transferred date in it

Transfer multiple delegates: 

  • Select the Event or Occurrence.
  • Select the Bookings icon
  • Go to the booking list of delegates.
  • Select the Multiple Transfer icon.
  • The Transfer Bookings screen will appear.

  • You can select all the delegates by selecting the tick box next to Surname or tick one at a time.

You can only transfer delegates that are not cancelled or marked as
attended.

  •  Click on Transfer Delegates.

The following screen will appear:

  • Select the Event from the drop-down list.
  • The Occurrence options will appear.

Occurrences only show that have places left on them.

  • If you wish to send a confirmation e-mail upon the transfer click in the tick box.
  • Then click on the Transfer button.
  • The delegates will be transferred to the new event or occurrence. If they have been cancelled or marked as attended, they will not be transferred.
  •  You will see a green screen at the top of the screen Delegates Transferred.

You have the option to either:

  • View Pretransfer Occurrence Booking.
  • View Post Transfer Occurrence Booking.
