In this article we will answer a number of the Frequently Asked Questions about Live Audits

Q: How is a Live Audit different from a Standard Audit?

A: In a Standard Audit you have a Due Date and Audit Date, whereas a Live Audit has three dates, Initial Due Date, Reopen Date and Final Closed Date. Initial Due Date is just like the Due Date of an Audit, however, after the Reopen Date the Respondent can make changes right up to the Final Close Date


Q: What is the Update Window?

A: This is the period of time between the Reopen Date and the Final Due Date. It is the time when a Respondent can make changes to an already submitted Audit. 


Q: Will I be able to see what changes were made in the Update Window?

A: Yes, every change that is made to the Audit is timestamped and saved.


Q: Can I still see the original submission for the Audit?

A: Yes, the original Audit submission is saved for reference.


Q: As an Admin can I only see the original submission and the latest version?

A: No, as an Admin you will be able to see the original submission, the latest version, and also any revisions which have been made. This means if the Audit was submitted on the Initial Due Date of 31 January and the Final Close Date was the 30 June, you would be able to view the responses to the Audit as though it was any day between those dates. 


Q: How do I create a Live Audit?

A: A Live Audit is created in the same way, however, now there is an Audit Type selection in the Add Audit panel where you choose Standard Audit or Live Audit

Q: What other changes are there for Live Audits?

A: We have updated our Answer Capture Options panel to include our new Live Audit Options.

Q: How do the Live Audit Options work?

A: If you choose to create a Live Audit, when you create the questions you will need to decide if you want to make it editable after the Report Date. You might want only question to be editable however, you could also decided all questions could be updated.

As you select the Capture Types and Evidence for the question, the corresponding Live Audit Options will become active. This will allow you to select this option if you want the question to be available for editing in the Update Window


Q: What will happen with Live Audit Options if we are not doing a Live Audit?

A: If you are creating a Standard Audit, the Live Audit Options will not be shown. 


Q: How do I add the new Reopen Date?

A: The dates for an Audit are defined when you Assign the Audit. At the point of assigning a Live Audit you will see the following screen, including the three dates.

Q: Are there any conditions for the Reopen and Final Close Date?

A: Yes, there are:

  • Reopen Date - This must be after the Initial Due Date and is capped at a year after the Initial Due Date
  • Final Close Date - This must be after the Reopen Date and is also called at a year after the Initial Due Date

Q: Can we change the dates that are assigned to the Audit?

A: Yes, we have created a new Update All Dates section in the Audit. When you the assignment page, you will see the Update All Dates link in orange.

Q: Do Respondent have to resubmit their Audit after making changes in the Update Window? 

A: No, after the Audit is submitted there is no way to resubmit.  Any changes made during the Update Window will just be saved to the Audit. This way any Respondents that don't make a change will not be required to resubmit. 


Q: When I am reviewing a completed Live Audit, how will I know whether the Respondent has updated their response?Screenshot 2024-12-19 140948

A: When you are viewing an Audit, there will be a Display Revisions button at the top of the screen. Clicking on this will display the Revisions section for you.

Also, at the bottom of a report there is a Revisions Overview section. If you expand this area, there will be summary of all revisions split into Responses, Ratings and Matrix Responses.

Q: How can I view the responses to a Live Audit on a specific date?

A: When viewing the report there is now an Audit results on this date field. Add a date to this field and click on the See Results button. This will update the report to show the answers as they were submitted for the Audit on that specific date.
